Multi-Location Operations Dashboards

Requirements for a multi-location operations dashboard: KPIs, roles, alerts, and rollout tips for growing businesses.

Updated 2026-08-30. Written by Christopher Gilliland, founder of ZynVoss LLC — Fort Pierce, FL.

01

What leaders actually need

  • Today’s jobs / tickets / revenue by location
  • Exceptions only (late, missing, failed)
  • Role-based views (owner vs manager vs staff)
  • Mobile-friendly morning check
02

Data sources

POS, job software, CRM, spreadsheets (temporarily), sensors—normalize into one warehouse or app DB. Start with 5 metrics, not 50 charts.

03

FAQ

BI tool or custom app?

BI for analysis. Custom when staff must act inside the same system.

Owners do not need fifty charts

They need today’s jobs, tickets, or revenue by location, plus the exceptions: late, missing, failed, cash drawer off. Role views matter. A manager in Port St. Lucie should not see Fort Pierce payroll. The morning check has to work on a phone in a parking lot.

ZynVoss LLC builds these as operator tools, not as a BI museum. Start with five metrics you would still look at during a bad week. If a chart does not change an action today, it is decoration.

06

Where the numbers come from

POS, job software, CRM, a spreadsheet you will retire, maybe a sensor. Normalize into one database or a small warehouse. Do not screen-scrape three vendor portals every morning and paste into Excel. That is how the dashboard is wrong by 9:15.

Define each metric in a sentence a manager can repeat. “Revenue” that mixes gift cards, tax, and unfinished jobs will start a fight. Time zones: Florida shops are Eastern. If a second location is not, say so in the query, not in a footnote.

07

BI tool vs custom app

Use BI (Looker, Power BI, Metabase) when analysts need to slice freely. Build a custom app when staff must act in the same screen: assign a tech, lock a till, call a customer. Those buttons need permissions and an audit log. See data and analytics and case studies.

We will not promise “real-time everywhere.” We will promise a refresh you can name (every five minutes, every night) and an alert when a feed dies. A pretty dashboard fed by a dead zap is worse than a clipboard.

08

A morning check that fits a parking lot

Owner opens the phone in a Port St. Lucie lot: today’s jobs, cash vs yesterday, anything red. That is the product. Fifty charts for a quarterly board pack can wait. If a metric cannot change an action before lunch, it is decoration. ZynVoss LLC will cut charts in the scope so the screen loads on shop Wi-Fi.

Time zone is Eastern unless you say otherwise. Gift cards are not revenue until you decide they are. Unfinished jobs are not revenue. Write those sentences down or the dashboard will start a fight between the manager and the bookkeeper. Alerts: a dead feed is more important than a pretty number. If the POS zap dies at 8:02, someone gets a text, not a surprise on Friday.

Role views: a Fort Pierce manager does not see Vero payroll. Export is allowed. Live multi-user Sheets as the warehouse is not. Related: how we show work.
